Job Summary
The Care Team Support Specialist is a full-time, in-person role at our Tukwila, WA office. The typical schedule for this role is Monday-Friday 8am-5pm, however, candidates must be available to start as early as 7:00 AM on occasion, depending on operational needs. Early shifts are not a regular occurrence, but flexibility is required. The Care Team Support Specialist will play a key role in maintaining the pristine appearance and smooth operation of our premium clinic, ensuring an exceptional experience for clients as they engage in our healthspan and longevity programs.
Essential Job Duties
Client Excellence and Support:
o Provide clear communication and context about program services.
o Assist clients with documentation and test preparation.
o Assemble and ship materials for in-person and virtual appointments.
o Act as a liaison between clients and external providers to address inquiries and resolve issues.
o Send referrals and follow up to ensure timely scheduling.
Organizational Support:
o Assist team members with administrative tasks and special projects.
o Maintain a clean, organized clinical space before, during and after appointments.
o Support clinical care team during appointment days.
o Communicate effectively with team members, referral sources, and lab vendors via phone, email, and messaging platforms.
o Quickly address issues and provide effective solutions.
o Collaborate with the team to ensure comprehensive service delivery.
o Build strong relationships with team members and ensure clear communication.
Specimen Processing and Testing Coordination:
o Process and prepare specimens for transport during appointments.
o Maintain accurate and up-to-date client records.
o Manage test requisitions, in-house supplies, labels, and transport pickups.
o Assist with appointment coordination, referrals, and follow-ups.
Clinic Supply Tracking:
o Monitor and manage clinic and program supply inventory.
o Coordinate with vendors for supply orders and restocking.
Basic Qualifications
o 1-2 years of customer service experience or similar
o Strong verbal and written communication skills
o Exceptional attention to detail
o Ability to work independently as a self-starter and as part of a team
o High level of professionalism, reliability, and ethical standards
o Strong problem-solving abilities and quick thinking.
o Excellent time management skills.
o Must be able to lift and carry up to 30 pounds, stand or be on your feet for extended periods, and perform tasks requiring mobility, such as reaching stock shelves and navigating the workspace, with or without reasonable accommodation
Desired Qualifications
o Proficiency in Microsoft Suites
o Experience with inventory management
o Experience working in or a desire to work in a health-related industry
